TMS #127: Stop Wasting Time!

7 Actionable Insights to Automate and Scale Your Business

Read time: 3 minutes

Happy New Year, Mindleaders!

I had the privilege of ringing in 2025 with my wife and in-laws, amid the grand fireworks in Einbeck, Germany.

It was a tranquil and beautiful start to the year.

While savoring some fine couscous, I reflected on my plans.

Automation is now a key part of them, especially in Twitter and crypto.

Let me share with you some insights I’ve been working on.

These tips will help you automate and grow your business.

They'll save time and energy for what matters most.

I. Document Everything You Do

The first step to automation is clarity.

Write down every task you perform in your business.

Be specific.

For example, don’t just say, “Respond to client inquiries.”

Break it down into steps, like:

  • Open email.

  • Read the client’s question.

  • Draft and send a reply.

By documenting your processes, you’ll see where inefficiencies lie.

Once it's all written, it's easier to find what can be delegated, streamlined, or automated.

Takeaway: Treat your business like a system.

If a process isn’t clear on paper, it won’t be efficient in real life.

II. Prioritize Your High-Value Tasks

As a busy entrepreneur, you’re probably doing too much.

Here’s the hard truth:

Not all tasks are created equal.

Identify what brings the most value to your business.

This might be:

  • Client acquisition.

  • Product development.

  • Building strategic partnerships.

Focus your energy there.

For everything else, think about delegation or automation.

Example: I recently set up an automated system for scheduling Twitter posts.

It saves me hours every week and ensures consistent engagement.

Takeaway: Free up your time for activities that generate the most impact.

III. Create Templates for Repetitive Work

Do you often write the same type of emails?

Or prepare similar presentations?

Templates are your best friend.

Spend some time crafting reusable templates for tasks like:

  • Client onboarding emails.

  • Proposal documents.

  • Social media captions.

Tools like Google Docs or Notion make it easy to create and access templates on the go.

Takeaway: A small investment in templates today will save you countless hours tomorrow.

IV. Embrace Automation Tools

Technology is your ally.

Here are some tools that can take over repetitive tasks:

  • Zapier: Connects your apps to automate workflows.

  • Calendly: Handles meeting scheduling without the back-and-forth emails.

  • Trello or Asana: Manages tasks and projects efficiently.

My wife and I use Trello, for example, to quickly exchange shopping lists.

I’m also using automated systems to track crypto investments.

They notify me of changes in the market, so I don’t have to check manually.

Takeaway: Let technology handle the grunt work so you can focus on strategy.

V. Outsource When Necessary

Not everything needs to be automated.

Some tasks require a human touch.

Platforms like Upwork or Fiverr are great for finding freelancers to help with:

  • Graphic design.

  • Content creation.

  • Customer support.

Outsourcing lets you focus on what you’re best at while others handle the rest.

For example, I have a great VA (virtual assistant) from Africa who helps me with my daily Twitter engagement.

Takeaway: Recognize when outsourcing is more effective than automation.

VI. Measure and Optimize Your Systems

Automation isn’t a one-and-done deal.

Regularly review your systems to ensure they’re working as intended.

Ask yourself:

  • Is this process still efficient?

  • Can I refine it further?

  • Are there new tools or methods that could improve results?

I check my crypto tracking systems weekly.

I tweak the settings based on market trends.

Takeaway: Continuous improvement is key to staying ahead.

VII. Build Redundancy into Your Systems

No system is foolproof.

Build backups for critical tasks.

Examples include:

  • Setting up multiple payment processors in case one fails.

  • Backing up data to cloud storage.

  • Having a secondary contact for essential services.

Takeaway: Redundancy ensures your business keeps running smoothly, even when hiccups occur.

Conclusion

Automation isn’t just about saving time.

It’s about creating freedom.

Freedom to focus on what matters.
